What Makes an Employment Letter Useful, and What Ruins One

A good employment letter does two jobs at once. It confirms your income and it confirms that you have a position to return to. Most letters we see do the first and forget the second entirely.

The five facts that need to be in it

An employment letter should state your full name exactly as it appears on your passport, your job title, your start date, your gross salary and the pay interval, and the dates of leave that have been approved for this trip. That last item is the one most often missing, and it is the one that speaks directly to whether you intend to return.

It should also identify the organisation properly. Letterhead with a registered address, a company registration number where one exists, a telephone number that is answered, and the name, position and signature of the person writing it. A letter signed only with a first name, from a free webmail address, does very little.

Keep it to one page. A letter that states the five facts plainly is more persuasive than two pages describing how valued you are. Character endorsements are not what is being assessed.

  • Full name as printed in the passport, not a shortened everyday version
  • Job title, start date, gross salary and pay frequency
  • Specific approved leave dates matching your travel itinerary
  • Signatory's name, position, direct telephone number and work email
  • Company letterhead with registered address and, where applicable, registration number

Why approved leave dates carry so much weight

Approved leave is a commitment made by someone other than you. Anyone can say they intend to come home. A letter confirming that your employer expects you back at your desk on a particular date is independent corroboration, and independent corroboration is exactly what a decision-maker is short of.

Make sure the dates agree with everything else in the file. If your leave runs to the twentieth but your return flight is on the twenty-fourth, you have created a contradiction that you will then have to explain. Align the letter, the itinerary and the form before you submit any of them.

If you are travelling during a period when the organisation closes, say so. A letter noting that the office closes for a fortnight in August and that you are expected on the first working day afterwards is just as good.

Making the letter verifiable

Assume the letter may be checked. That means the contact details need to work. A switchboard number listed on the company website is better than a mobile. A work email on the organisation's own domain is essential, because an enquiry sent to a generic address is easily lost or dismissed.

Tell the signatory that a verification call or email is possible and ask them to respond promptly if it comes. We have seen perfectly genuine applications delayed for weeks because an HR manager was on leave and nobody else recognised the enquiry. Naming a second contact solves this.

Where your employer is small or new, add corroboration: a trade licence, tax registration, a website, or your last three payslips and the corresponding salary credits on your bank statement. The point is to show the employer exists independently of the letter.

Payslips, contracts and how they fit together

The letter says what you earn. Payslips show it. Bank statements prove it arrived. Those three documents should agree, and when they do not, the mismatch is what gets noticed. A letter quoting a gross monthly figure and statements showing a credit for a different amount need a line of explanation about deductions.

Include a copy of your contract or appointment letter if your role is recent, because a letter confirming a job you started three weeks ago is thinner evidence than one confirming four years of service. Length of service supports the argument that you have something to return to.

If you have been promoted or changed employer recently, include the earlier evidence too. A continuous employment history explains a change in salary that would otherwise look odd.

Special situations

If you are on probation, unpaid leave, a fixed-term contract or notice period, describe the position accurately. Attempting to present an uncertain situation as settled tends to unravel, and an honest account with supporting context is usually workable.

Retired applicants should provide pension documentation and any evidence of continuing income in place of an employment letter. Homemakers and dependants should rely on the sponsor's employment evidence plus proof of the relationship. Students should provide an enrolment letter and confirmation of term dates, which performs the same function as approved leave.

If you are self-employed, an employment letter written by yourself has limited value on its own. It needs to sit alongside registration documents, tax filings, client contracts and business bank statements.
